The RoleHealth, Safety and Security Team Admin will be responsible for providing day to day admin support to wider H&S team. This will include managing team mailboxes, responding to queries, managing, and maintaining security vetting records in line with GDPR regulations, coordinating and supporting with production of HSS monthly dashboards etc. As part of this role, you may be required to travel to other CAA offices and associated businesses.

Core Accountabilities

Provide Health Safety and Security team with day-to-day admin tasks.

Manage the HSS team outlook inboxes and responding to candidate queries.

Develop and manage vetting workflow plan including liaising with HR/ Line Managers/candidates to ensure that we have all the required information before progressing applications.

Liaising with ISD on new starters requests.

Liaising with internal terms on security ID applications.

Support the application processing of regulatory access cards and vetting applications.

Supporting the management CAA leavers including ensuring all security assets are returned before offboarding.

Update CAA systems with vetting information.

Support with management of team records including vetting records.

Liaise procurement and external suppliers to manage and reconcile contractor and supplier records to ensure appropriate pre-employment checks have been completed before commencing work with CAA.

Managing team’s physical post.

Coordinating the production of monthly Health Safety & Security performance dashboards.

Taking minutes for HSS meetings.

About You

To be considered for this role you should meet the following criteria:

Good attention to detail.

Good writing skills including report writing.

Good customer service is essential.

Able to work with high level of discretion and high degree of confidentiality.

Able to demonstrate a full 5yrs UK residency to achieve SC clearance.

Strong administration background.

Able to attend office minimum 3 days a week.

Proficient in Microsoft Packages in particular Word and Excel.

Additional Information

For many appointments within the CAA, these roles require access to operationally sensitive infrastructure and/or Nationally Protected information. For these roles the post holders must undergo National Security Vetting and achieve the appropriate level of clearance.

To be vetted we will usually expect a reasonable period of residency in the UK so that meaningful checks can be undertaken. For this role this will need to be 5 years.
