The following is the basic job description for the Operations Coordinator position current as of the date noted above. Any alterations, substitutions, or additions must be approved in writing the following people: Human Resource Manager and Director of Operations. This position reports directly to the Director of Operations.

Provide operational support across procurement, logistics, supply chain planning, and inventory management functions.
Ensure accurate data management and efficient communication with vendors.
Streamline operational processes and provide backup coverage for critical roles.
Job Summary:
The Operations Coordinator supports the Director of Operations by managing day-to-day operational tasks across multiple departments, including procurement, supply chain, and branch operations. This role is responsible for maintaining vendor and item master data, coordinating purchase order tracking, facilitating vendor onboarding, and providing ad hoc reporting. The Operations Coordinator plays a critical role in ensuring operational efficiency and seamless cross-functional collaboration.
Essential Functions:
Coordination and Tracking:
Confirm purchase orders (POs) and track delivery timelines to ensure on-time performance.
Escalate PO delays or discrepancies to the appropriate team.
Coordinate and track drop-ship orders to guarantee seamless execution.
Master Data Management:
Maintain and update vendor and item master data to ensure accuracy and consistency.
Set up new items in the system, ensuring all required details are captured and validated.
Vendor Onboarding Support:
Assist with onboarding new vendors, ensuring compliance with company requirements.
Support the collection and validation of vendor documentation during onboarding.
Reporting:
Generate ad hoc reports to support procurement, logistics, and supply chain decision-making.
Ideal Candidate Profile:
Education: Bachelor’s degree in Business Administration, Supply Chain Management, or a related field preferred; equivalent work experience acceptable.
Work Experience: 2–4 years in an operational support role within procurement, logistics, or supply chain.
Companies Worked For: Distribution, manufacturing, or retail companies with complex supply chains.
Skills:
Proficiency in ERP systems and Microsoft Office Suite (especially Excel).
Strong organizational and time-management skills.
Excellent communication skills for vendor and team interactions.
Ability to multi-task and prioritize in a fast-paced environment.

Metrics for Success:
PO Confirmation and Tracking Accuracy: Maintain 100% accuracy in PO confirmations and timely tracking updates.
Vendor and Item Master Data Accuracy: Ensure 100% data accuracy in master records.
On-Time Drop Ship Execution: Achieve 98% or higher on-time drop-ship performance.
Ad Hoc Reporting Timeliness: Deliver reports within established timelines, ensuring actionable insights.
