Position purpose:
To provide Planning support to Integrated Facilities Management Unit’s departments.
To Prepare, Manage and Ensure implementation of strategic, short, mid and long-term plan and Initiatives, Capex and Opex Budget preparation and Monitoring, process and Procedures development & Implementation.
Take lead in Internal and External Audit for the unit.
Ensure, monitor and report effective and efficient implementation of all Projects from inception, Preconstruction, construction, close out and handover along with cost, schedule & Contracts management and Control at Solutions Plus.
Monitor Facility Management and HSSE Contractors performance and compliance of key performance indicators and provide Planning, Asset management and Maintenance, HSE and Security services, cost and invoicing control functions.
Monitor General Services and Property Management performance and compliance of key performance indicators and provide Planning, schedules, contract and lease management, services, cost and invoicing control functions.
Ensure registration of all Clients assets, completed Projects in CAFM system and implementation of Maintenance regime for upkeep and better utilization of assets.
Ensure QA/QC measures are implemented for all of the activities specially in properties, projects and FM, and provide the necessary support to the departments for all government submissions and approvals.
Role Description:
Collaborate with senior leadership to integrate facilities management strategies into the overall business strategy.
Facilitate regular updates and progress reports to senior leadership and stakeholders.
Prepare, Manage and ensure implementation of strategic plan for Unit.
Prepare, Manage and ensure implementation of short-, mid- and long-term plans and Initiatives for Unit.
Optimize Business Process, service level and cost for Unit
Prepare and Manage process and Procedures development and Implementation, performance management and Improvement initiatives.
Manage preparation of manpower plan, job descriptions, PDPs, training plans and manpower allocation for Unit.
Coordinate finalization of Unit Scorecard and monitor the Key performance Indicators for the staff for in the unit.
Prepare and Monitor the Lessons learnt and Best Practices in Unit.
Manage and coordinate Service level agreements with other Solutions+ units and with clients, Guidelines / Handbook, SOPs and unit Manual and ensure proper implementation.
Identify, manage implementation of performance excellence initiatives for the unit and report.
Identify and monitor implementation of Digitization and improvement initiatives for the Unit.
Take lead in Internal and External compliance Audit for Unit. Ensure Unit activities meet international standard requirements.
Direct and coordinate the development of the annual OPEX and CAPEX budget for Unit.
Coordinate with Finance to prepare and summarize expense reports for the various cost heads to highlight variances from CAPEX and OPEX budget and track expenditure.
Prepare and monitor procurement plan for new contracts and coordinate with Corporate Procurement Division.
Ensure, monitor and report effective and efficient implementation of Projects from inception, preconstruction, construction, project close out and handover along with cost, schedule and contracts management and Control.
Provide support for the preparation of contracts/tender documents for various contracts and projects.
