Job Purpose
As an IMS and compliance officer, you will play a key role in maintaining the Integrated Management System (IMS) to ensure continued ISO certifications for ISO standards adopted by the Company to the current scope and promoting quality, environmental, occupational health & safety, information security and anti-bribery compliance. Managing, coordinating, facilitating, and ensuring effectiveness of Prasarana Group’s Integrated Management System (IMS) and documented information management, subsequently manage, implement, maintain and continuously review and improve the QMS/IMS as well as ensuring the certification of IMS is maintained and adoption of best practices in Prasarana’s business operation that will be beneficial to the organization.
Key Accountabilities
Manage interfacing between all relevant internal and external parties on Prasarana’s IMS implementation, documentation and certification.
Ensure all the requirement/changes from external and internal parties are communicated across Prasarana group.
Develop and maintain solid working relationship and environment with all levels throughout the organization.
Conduct periodically committee meetings to ensure effective IMS implementation.
Ensure IMS certification is completed and maintained according to the plan schedule, and to ensure the processes needed for IMS are established, implemented, maintained/complied, reviewed and continuously improve to ensure its suitability and effectiveness.
Plan and coordinate IMS awareness program or training, internal audit, management review and certification audit activities throughout the organization.
Act as liaison party with external Certification Body (CB) for IMS Audit arrangement, coordination and findings response.
Ensure IMS documentation is established, reviewed, and updated as part of continuous improvement.
Ensure all IMS progress updates are properly reported to management/board committee.
Partner with IMS leader, coordinate and execute Quality, environmental, occupational health and safety, information security and anti-bribery activities for the Integrated Management System.
Follow-up & closing out the non-conformities/comments/opportunities for improvement (if any) identified during inspections/ gap analysis
Maintain all relevant site IMS documents/records.
Actively participate in the internal and external audit process and ensure recommended actions are close out and records updated.
Provide support in raising awareness of our employees, subcontractors, vendors etc in understanding and compliance of IMS requirements.
Prepare quarterly / annual report of the IMS performance and provide feedback to management team.
Perform any task instructed by the management and head as to support the department objectives/initiatives.
Qualifications, Skills & Knowledge
Bachelors degree in Law, finance, Accounting Business, Management, Engineering or equivalent.
Minimum 10 years of relevant working experience.
